Setting up the Data and Web files



Databases section
Click Databases from the Switchboard to access this section. Here you setup the parameters of your Intranet environment.

The number of Databases depends on how many files need to be backed up and made available on an Intranet / wesite. This is set when Logos Flow supplies the IndexMD.

On the left column the product name is given, prefix and name of the data file. You also get the number of words in the central index and a button (Index) which will start the indexing of all web files associated with the product.

On the right is a tab called Data and Web files which offers the following:
  • Caption: your user-friendly name (example: Library)
  • Description: additional information to the Caption.
  • Status: this is important as it allows for each data and web file to be managed seperately;
    • Current: include this file in the indexing
    • By pass: do not include this file in the indexing (for now)
    • Archived: never include this file in the indexing
  • Source of the Data file: use the Browse button to locate the data file on the user's computer or networked folder.
  • Destination of the Data file on Intranet / Network: browse to where the data file is going to be stored on a central server / computer. You will need to set up the folder structure prior to selecting this option. Suggest you have one main (root) folder with one or more sub-folders. Click the Copy File option to send a duplicate copy to the Destination folder.
  • Export / copy web data: data is exported to a file located on your Intranet. You will need to set up the Intranet folder structure prior exporting. The Copy File option is to copy a web file to your Intranet. This file receives data exported from the Data file (in the Destination folder)

The Support tab on this form (see screenshot) offers utilities that are useful if there is a problem with the indexing process. Full details in this section.
